AD MATERIAL SUBMISSION: GUIDE TO PRINTABLE ADS
 

 

Photonics Group recently updated the Guide to Ad Submissions. For detailed ad specifications, please download a printable PDF version of the Ad Submissions guide.

Preferred material: High-resolution, press-quality pdf files. Please use only CMYK colors, and, if using Illustrator, make all text outlines and do not set any text to Overprint Fill. We also support the following Macintosh software: QuarkXPress 6.1, Photoshop CS2, Illustrator CS2, InDesign CS2, Freehand MX and PageMaker 6.5.

For graphics, please use eps, tiff or jpeg formats. For best results when using PC software, send graphics in tiff format. If you are working in Illustrator or Freehand, convert all type to outlines or paths and embed all graphics files. PageMaker users: please do not embed graphics files — link them and include a copy of the original graphics file. Please provide file names, the application used and any other relative information with each submission. Photos should be 300 dpi, and black-and-white line art should be 600 dpi. 

For multicolor jobs, a color proof at actual size should accompany your ad. Please note that a pdf file is not acceptable as a color proof, nor is a color print from a laser printer. For digital ads, please supply a Kodak Approval proof. If a proof is not furnished, we will use a color proof provided by our printing company. For black-and-white ads, a laser print will suffice. All proofs, digital and film, should be on publication base material. Contact our production department for further assistance.

Submitting Digital Files: We can accept submissions on CD-ROM or 100-MB Zip disks. You can e-mail your files to us at photonics@laurin.com, or we can download directly from your ftp site. Please contact our production department for details on uploading your files to our ftp site. When sending via e-mail from a Macintosh, files must be stuffed and then BinHex-encoded. PC files should be zipped. Files must be sent as email attachments. To compress a file, use Stuffit Deluxe, PKzip, WinZip or another compression format supported by these utilities.

The file should be a self-extracting or a self-exploding archive. Please contact our production department for any further assistance.

Film Submissions: Negatives, right-reading, emulsion side down; half-tone: 133-line screen recommended for four-color, maximum density 280, conversion materials accepted; reproduction proofs; and camera-ready art.

Please note for EuroPhotonics: Positive, right-reading, emulsion-side-down film is required.

Four-Color Advertisements: Color-separated, right-reading negatives (positives for EuroPhotonics), emulsion side down. A color proof is required for all two-, three- and four-color ads. For film ads, a Matchprint proof should be provided. The publisher assumes no responsibility for the quality of color ads printed without a color proof.

Production Charges: Advertisers or agencies will be billed for mechanical preparation of advertisements, including typesetting camera work, copy changes, design borders, conversion of positives and duplicate negatives. There is no charge for camera-ready art, reproduction proofs or show lines. Production charges are non-commissionable.

Image Resolution
Photos must be scanned at 300 dpi at final output size. Black-and-white line art should be scanned at 600 dpi. Please call for assistance if needed. Example: An 8 x 10-inch photo scanned at 72 dpi can be proportionally reduced to 1/4 of its original size while increasing its resolution to 300 dpi. A 72 dpi image cannot be enlarged, nor can the resolution be increased without a substantial reduction in size. This equation works best when images are placed at 100%. Enlarging images after scanning diminishes resolution.


Graphics
For best results when using PC software, please send graphics as tiffs. All art files placed within an ad should be in eps or tiff format. Jpeg files are not acceptable. Black-and-white images should be saved as gray scale.

Organizing your graphics in a separate artwork folder within the job folder makes it easier to locate and copy files to disks later. It also ensures that links remain intact when transferring the job folder as a whole.


Fonts
Laurin Publishing supports Adobe Type 1 fonts only. We are Mac-based and cannot use Truetype or PC fonts. If you have only PC fonts, we will use your printed copy to match the fonts as closely as possible.

To avoid problems with PC fonts, save your ad as a Photoshop eps or tiff file. Please do not send PSD (native Photoshop files), because these will still call for fonts. If you are working in Freehand or Illustrator, convert all type to paths or outlines. All Mac fonts used in your document should be included with your files, as we are not allowed to store copies of customer fonts on our system. Although your file may use only "common, everyday" fonts, version numbers or manufacturers may vary, and substitution may result in text re-flows or odd line breaks. Therefore, we recommend imaging the document using the original fonts for accuracy.


E-mailing Files
When e-mailing files from a Mac, please BinHexencode the files. Files must be e-mail attachments. Utilities are available on the Internet for BinHexing files. Some are free. To compress an image, any of the following programs may be used:  Stuffit, PKZIP, WinZip

The file should be a self-extracting (or a self-exploding) archive.  

NOTE: Files must be stuffed first, then BinHexed. PC files should be zipped. You may include several items, depending on the file sizes, in one file. If you are sending your file via e-mail, please fax us a copy for comparison, along with a copy of the output form, at +1 (413) 442-3180 or send us via overnight service a printout of your ad. (Please refer to "Proofs" for additional details.) A printout is preferred to a fax because it shows more detail.

Without a printed copy of your ad, we cannot be held responsible for errors because we have no way of knowing if items or copy have been lost during translation/copying to our system. Files may be e-mailed to us at photonics@laurin.com. Please note "Attention Production" in the subject line.


Proofs
Proofs are required for all output jobs. Multicolor jobs need a Kodak Approval proof. All proofs should be on publication base material and at actual size. Advertisers who have trouble generating correct proofs should contact one of our client service offices.

NOTE: If a proof is not included with your output files, we cannot be held responsible for errors in your ad. If there is no printed version of your files, we have no way of knowing if items or copy have been lost during translation/copying to our system. There may be additional charges and delays as we output laser proofs of your file and have them approved before proceeding. Any notes or areas of concern can be indicated directly on the proof or on a laser printout. An accurate color proof of the ad ensures printing accuracy. A color laser print is not an accurate representation of how the ad will appear in final print. The publisher assumes no responsibility for the quality of color ads printed without a color proof. Please also include a printout of the disk window, including all graphics and/or font subfolders.


Digital Content Form
The Digital Content Form serves as your final check to ensure that all files and information have been included, and as a preliminary check for us, to avoid any unnecessary problems or confusion.

How to gather information for the Digital Content Form:

 

QuarkXpress:
Menu File/Collect for Output
This utility generates a report that you may view through Simpletext or place as text in a new Quark document. The report contains information about fonts and graphics used, color plates, style sheets and extension usage. It also makes a duplicate of the document, with any linked graphics, and gives you the option of storing them in a new folder for sending to your service bureau. Note that Collect for Output does not collect your fonts. You must do this manually. Place both screen and printer fonts in a folder on your transport disk. To avoid computer overwrites, label the folder with your company name, instead of simply "fonts."

 

 

PageMaker 6.5:
You must save the document first. Then click Menu Utilities/Plug-ins/Save for Service Provider/ Preflight pub, then click package to collect everything. This generates a pop-up dialogue box of fonts, links and style sheets. It also displays the location of all linked files for easy copying to your transport disk.

This gives you the option to create a report including information on fonts, color usage, etc.

Making High-Resolution PDF Files in Quark

1. Open the Quark document you want to convert to a pdf file.
2. Select Print from the File menu.
3. Document Tab: Registration should be off.
4. Setup Tab: In printer description, select Acrobat Distiller. Select paper size. Paper should be the same width as your document pages.
5. Preview Tab: Check to make sure the whole page is shown within the guide. If not, make changes accordingly to the paper width in previous tab.
6. Output Tab: Set resolution to 300 dpi.
7. Click on Page Setup button in lower left-hand corner. Set paper size to US letter and Scale 100%, then select Page Attributes from menu.
8. Select Postscript Options and uncheck all boxes, and click OK.
9. Click on the Printer button in lower left-hand corner. Set Destination to File. Click General Button and select Save as File from the menu.
Format: Postscript Job
Postscript Level:
Level 2 and 3
Data Format: Binary
Font Inclusion: None
10. Click Save. Name the file when save box appears. Make sure .qxd is not the file extension. Click Save.
11. Click Print and then close document without saving changes.
12. Open Acrobat Distiller.
13. Select Job Options from the Distiller menu.
14. General Tab: Set Default Resolution to 300 dpi.
15. Compression Tab: All should read 300 dpi.
16. Font Embedding Tab: Make sure Embed All Fonts and Subset Fonts boxes are checked.
17.

If changes were made, click OK; if not, click cancel.
Open postscript (.ps) file you made when you were in Quark. Save it (.pdf), and you are finished.

Note: Once the general, compression and font embedding tabs are set up, they don't have to be set again.
